Gather the operating history

Collect water-level observations, available fill-water records, pump schedules and recent maintenance notes. Identify which pools, spas or water features share equipment. Existing drawings can help explain long pipe runs, multiple pump rooms and any surge or balance tanks.

Choose a site contact

Arrange for someone familiar with the facility to explain normal operation and provide access to equipment spaces. Share gate instructions and the relevant maintenance contact when coordinating the visit. Avoid putting access codes in public comments or website reviews.

Discuss scheduling constraints early

Tell us about operating hours, resident or guest use, planned maintenance and any restrictions on access. Discuss the testing plan and any potential interruption before the visit so your team can coordinate notices and staffing as needed.

Agree on what information your team needs

If a board, owner or insurer needs particular documentation, explain the requirements when requesting a quote so we can confirm what can be provided. Keep a record of observations and questions for the discussion of findings and repair options.
